The City of Virginia Beach Department of Human Services is seeking to hire
two Administrative Assistants within the Behavioral Health division. The preferred candidate will be an excellent communicator, both in writing and verbally, who is responsive, very organized with a high level of computer literacy, and able to analyze data and produce reports. Professional experience utilizing Microsoft Office Applications and similar office products is highly desired.
This requisition is being used to fill two Administrative Assistant vacancies. One will support the Behavioral Health Administrator at the Pembroke 6 location, and the other position will support one of the Clinical Services Administrators within the Behavioral Health division at the Magic Hollow location.
Specific duties include, but may differ based on position:
- Develop and run complex reports for assigned unit to track timeliness and completion of documentation essential for agency billing.
- Develop and run other multi-unit reports as needed to ensure compliance with licensure and agency standards and payer requirements.
- Research background material and statistics needed for departmental meetings, reports and correspondence.
- Handle all incoming calls and mail for assigned unit, including initial response to client/ family inquiries, concerns and complaints.
- Assist with hiring new staff, including arranging interviews, completing new hire paperwork and ensuring that computer access and other equipment is prepared.
- Prepare training manuals for new staff regarding documentation requirements and insurance authorization requirements.
- Prepare requisitions, purchase orders, travel reimbursement vouchers.
- Schedule meetings for supervisor and other staff and takes/ transcribes meeting minutes involving technical issues related to insurance reimbursement, documentation and/ or the electronic health record, as needed.
- Process time sheets and assist with managing clerical records on behalf of Administrator.
- Train new staff regarding the electronic health record (Anasazi), assists with orientation, and provide technical assistance to staff regarding computer software/ hardware, and other office equipment, as needed.
