All God's Children International is actively seeking a dedicated individual to serve as our Administrative Assistant located in the Vancouver, WA area. This is an onsite, part-time position working 20 hours per week, Monday - Thursday.

The Administrative Assistant will provide comprehensive office administrative support to ensure the efficient operation of the AGCI office and remote team members. The successful candidate will handle various tasks including serving as the in-person representative at the AGCI office, handling communication, managing organization files, ingoing and outgoing mail, assisting with processing checks, and performing general clerical duties. This position requires a proactive and detail-oriented individual who can handle multiple responsibilities with a high level of customer service and a positive attitude.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Office Support:
  • Represent AGCI in person at the US Digital office space.
  • Prepare remote deposit of checks and upload documentation to accounting.
  • Monitor and direct incoming emails to general company email address.
  • May require occasional local travel for needs such as notarizing documents, shipping, maintaining off-site storage, and other administrative duties as assigned.
  • Support the Adoption team with various administrative tasks.
  • Maintain notary status in Washington and Oregon.
Mail Management:
  • Receive, sort, and distribute incoming mail to the respective departments or individuals. Maintain accurate records of incoming and outgoing mail, tracking deliveries and shipments.
  • Manage outgoing mail and prepare for domestic or international shipments.
  • Liaise with internal departments to facilitate the timely delivery of important documents and packages.
  • Communicate with external courier services and postal agencies to address any issues or delays.
  • Receive, process, organize, and disseminate documents and reports.
  • Provide notary services as needed and process documents requiring apostille.
  • Manage Iron Mountain storage. Ensure tracking, retrieving, and sending of files. Coordinate pickup of documents to be shredded.
General:
  • Displays excellent time management and organizational skills to prioritize workload.
  • Displays excellent communication skills including in-person customer service, documentation, detail orientation, and sensitivity with confidential documents and information; displays an exceptional ability to communicate effectively and remain calm and courteous under pressure.
  • Respectfully takes direction from the VP of Finance.
  • Maintains punctual, regular and predictable attendance.
  • Works collaboratively in a team environment with a spirit of cooperation and remains open to all levels of work and support for the organization.
  • Other duties, as assigned.
EDUCATION and/or EXPERIENCE

Associate's or Bachelor's degree from four-year college or university may be given additional consideration. One to three years' experience in a similar administrative role is required.

CERTIFICATES, LICENSES, REGISTRATIONS

Must possess a valid driver's license and ability to supply appropriate documentation/identification to travel authorities when traveling domestically and internationally.

This position requires the successful completion of an extensive criminal background check. All candidates must be legally eligible to work in the United States without company sponsorship.

COMPENSATION

$21.00 - $23.00 per hour depending on experience.

BENEFITS

For our part-time positions, we offer PTO on an accrual basis and up to 11 paid holidays.
