Job Title: Administrative Assistant

Location: Main Branch (3675 S 900 E, Millcreek, UT 84106)

Status: Full-Time (40 hours a week)

Reports to: President/CEO

Position Purpose

Provides administrative support to senior management and facilitates efficient operations within the organization. With a focus on managing board relations, coordinating executive-level meetings, and overseeing day-to-day administrative tasks, this role is essential to maintaining smooth communication and operational efficiency across departments. The ideal candidate will demonstrate a high degree of professionalism, organizational expertise, and attention to detail, ensuring senior leaders and the board are well-supported and informed.

Essential Duties, Skills & Abilities
  • Exhibit outstanding member services skills by applying Granite Credit Union Service Standards and Core Values.
  • Provide confidential support to Board of Directors, Supervisory Committee and Executive Team.
  • Complete agendas, minutes, documents and memoranda for meetings involving Board of Directors and Executive Team members.
  • Coordinate meetings and travel arrangements for Board of Directors and Supervisory Committee members.
  • Manage and maintain calendars for senior management, scheduling meetings, appointments, and travel arrangements as necessary.
  • Handle per diem and travel requests and coordination for employees as needed.
  • Prepare and maintain documents, reports, presentations, and correspondence. Ensure all files and records are kept organized, accurate, and up-to-date.
  • Plan and coordinate events for volunteers and employees.
  • Drive employee engagement and understanding of GCU wellness benefits and initiatives.
  • Involved in testing pilot programs prior to implementation or launch.
  • Screen incoming mail, publications and other correspondence for volunteers and Executive Team.
  • Assist in planning and coordinating events, such as meetings, retreats, and other functions, ensuring all logistics are handled smoothly, including invitations, accommodations, and materials preparation.
  • Ensure that all information related to Credit Union activities are kept confidential. Maintain the security of the work area and keep it organized and neat in appearance.
  • Provide general administrative support to other departments or management as needed. Assisting with day-to-day operations, including preparing documents, organizing meetings, and performing other administrative tasks.
  • Maintain a professional and courteous attitude with all people, including fellow employees, members, management staff, board members, and outside vendors.
  • Basic computer operating skills such as email, Microsoft Office, etc.
  • Attend meetings as required.
  • Other duties as assigned.
  • Must comply with all company policies and procedures, applicable laws and regulations, including but not limited to, the Bank Secrecy Act, the Patriot Act, and the Office of Foreign Assets Control.
Experience
  • At least 3 years of experience in an administrative support role, with a focus on assisting higher-level management and managing board relations.
  • Experience in core credit union operations and functions such as core system transactions, new accounts, and lending preferred.
  • Strong written and verbal communication skills for preparing reports, correspondence, and engaging with board members and senior leadership.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with additional software tools used in administrative tasks.
Education

High School Diploma or equivalent.
