Reports to: Vice President of Operations
FLSA Status: Non-Exempt
Job Summary: Under general supervision, performs moderate secretarial and administrative support for daily office operations, administrative projects, meeting preparation and special assignments. May involve answering incoming telephone calls, greeting guests and may handle travel accommodations.
Duties & Responsibilities: - Organizes and maintains files of supervisor's correspondence and records, following up on pending matters.
- Performs independent research and prepares information for special reports, gathering and summarizing data.
- Schedules meetings, appointments and other events; notifies attendees, and makes necessary arrangements.
- Promptly and courteously answers telephone calls. Provides effective and efficient assistance to callers and distributes messages as necessary.
- Drafts confidential correspondence, edits documents, takes and transcribes minutes of meetings, and performs other administrative and secretarial duties.
- Serves as a liaison between executives, managers and visitors.
- Cooperates to help other personnel as needed in the spirit of teamwork.
- Copies and faxes documents while maintaining office files and other information tracking systems.
- Other duties as assigned.
Requirements (Knowledge, Skills & Abilities): - Working knowledge of computers, including Outlook, MS Word and Excel.
- Ability to handle moderately complex assignments under minimal supervision
- Ability to communicate clearly both written and verbally.
- Mathematical ability to add, subtract, multiply, divide whole numbers, decimals, and fractions.
- Ability to be detail-oriented
- Must be able to work effectively both independently and with others.
Education & Experience Requirements: The above knowledge, skills and abilities may be demonstrated by a High school diploma or equivalent experience required. Two to four years prior experience in similar role.
