Henning ElementaryPOSITION TITLE: Administrative Assistant of District Operations/TransportationCONTRACT PERIOD: July 1 - June 30REPORTS TO: Facilities Director, Transportation Director and SuperintendentPOSITION SUMMARY: Assists the District Facilities Director and Transportation Director with operations and maintenance of facilities and transportation KNOWLEDGE, ABILITIES AND SKILLS: - Interpersonal skills using tact, patience and courtesy
- Strong organizational, analytical and interpersonal skills as well as verbal and written communication skills
- Ability to work with internal and external contracted services
- Ability to manage budgets
- Ability to promote and follow Board policies, administrative procedures, and building procedures
- Ability to communicate, interact and work effectively and cooperatively with all people including those from diverse ethnic and educational backgrounds
DUTIES AND RESPONSIBILITIES - Assists with the following responsibilities for facility operations:
- Safety and security of all district facilities
- Community use of all district facilities
- District athletic facilities operations
- Materials procurement and equipment inventory
- Distribution and management of instructional materials
- Environmental health and safety compliance documents
- Monitoring budget allocations, expenditures and fund balances for the purpose of ensuring accuracy
- Scheduling meetings, workshops and seminars for the purpose of fulfilling compliance and mandated safety training requirements.
- Other duties as assigned by the Facilities Director and Superintendent.
- Assists with the following responsibilities for transportation operations:
- Maintain transportation records
- File pre-trip inspection slips
- Prepare bus driver/monitor timesheets (bi-monthly)
- Prepare mailings for bus drivers
- Maintain bus routes
- Use of interpersonal skills and the ability to incorporate proper phone etiquette
- Use of two-way radios to communicate with bus drivers
- Other duties as assigned by Transportation Director and Superintendent
QUALIFICATIONS - The position requires knowledge of managing operations, services and activities of a Unit District School.
- The position requires computer literacy and working knowledge of software systems such as Google Apps, Microsoft Office, electronic work order management software and office software for finance and purchasing (Skyward).
- Experience with management operations, preferably with an education institution.
