The Case Manager Assistant supports case managers by providing administrative, organizational, and client-focused assistance. This role involves helping coordinate services, managing client documentation, and ensuring efficient case management operations. The Case Manager Assistant plays a crucial part in delivering quality care and support to clients while upholding the organization's standards. Job is Monday - Friday, 30 hours a week.

SUMMARY OF ESSENTIAL JOB FUNCTIONS

Greet and welcome visitors, clients and employees in a professional courteous manner.

Answer and direct incoming calls, taking messages when necessary.

Manage incoming and outgoing mail and packages.

Schedule appointments, meetings and manage the office calendar.

Handle the administrative tasks such as filing, data entry and record keeping.

Assist with coordinating office supplies and inventory.

Provide information and assistance to community partners.

Enter and manage client data in the case management system.

Monitor and track case progress to ensure deadlines and milestones are met.

Generate and analyze to assist case managers in evaluating outcomes.

Ensure adherence to organizational policies, legal regulations, and confidentiality requirements.

Collaborate with other departments, community organizations and service providers to coordinate client services.

Assist in identifying resources and services that align with client needs.

BASIC SKILLS

Attention to detail and ability to handle multiple priorities

Basic computer knowledge

Knowledgeable of computers and office equipment

Excellent typing and 10-key speed and accuracy

Commitment to high level of customer service

Excellent customer service skills

EDUCATION AND WORK EXPERIENCE REQUIRED

High school diploma or equivalent

Proficient in Google products (documents, drive, sheets, calendar, etc.)

Strong verbal and written communication skills.

Excellent organizational and multitasking abilities.

Ability to work independently and as part of a team.

LANGUAGE SKILLS

Ability to communicate effectively both verbally and written.

Bilingual is a plus

PHYSICAL REQUIREMENTS

Must be able to sit for extended periods of time.

Ability to bend, stoop and reach overhead.

Must be able to lift 25 pounds.
