Administrative Assistant (Seattle, Full-time, Onsite)
Fisher Phillips, a premier international labor and employment law firm, is seeking a skilled and experienced Administrative Assistant to join our team. In this role, the Administrative Assistant will work in a team-oriented environment and will be responsible for providing first-class legal/administrative support to the Firm, including attorneys, paralegals, secretaries and other administrative managers and individuals. This individual must make sound judgments handling work and communicating with others including their co-workers. Flexibility in daily work schedules may be required due to departmental workload requirements. This is an in-office role.
Key Responsibilities - Legal Assistance: Open new matters, ensure compliance with conflict requirements, create filing templates for court submissions, and support secretaries and paralegals with administrative tasks. Create master captions/Proofs of Service for new matters, and responsive shells, as needed.
- Administrative Support: Assist with attorney expense reports, attorney time entries, invoice submissions, correspondence, and backup support for secretarial tasks such as scanning and copying.
- Office Operations: Collect, scan, and save mail and correspondence in the firm's system; manage mailing labels and Federal Express shipments, including tracking and resolving delivery issues.
- Case Management Support: Assists secretaries and paralegals with file management as needed, including saving and tracking client documents in iManage. Maintain positive contact with attorneys, staff and clients and observe confidentiality of the docket and firm's clients.
- Task Management: Prioritize and juggle multiple assignments while maintaining professionalism and confidentiality.
- Other duties as assigned by the secretaries and office administrator.
Requirements - College degree and minimum of 2 years secretarial or administrative experience in a related environment is required; 3 years legal experience is preferred.
- College course work and/or legal secretarial field or equivalent combination of experience/training in another non-related field is required.
- Intermediate-advanced skill level in Microsoft Word, Excel, PowerPoint and Adobe.
- Ability to accomplish tasks quickly and thoroughly with a high degree of accuracy and to meet deadlines in a fast-paced environment.
- Experience with working in a team-oriented, collaborative environment.
- Demonstrated problem-solving abilities.
- Knowledge of the firm business process and business operations.
- Superior knowledge of the firm's goals and objectives.
The hourly rate range for this position is $27.41 - $28.62. Actual base pay within this range will be determined by several components, including but not limited to, location, relevant experience, internal equity, skills, qualifications, and other job-related factors permitted by law.
