Position Overview: We are seeking an
Administrative Assistant in our Seattle office to provide administrative support for our Asbestos Litigation Team under the supervision of the Support Staff Manager. The ideal Administrative Assistant will be able to consistently assist with: daily tasks provided Legal Assistants, Paralegal(s), and Attorneys; answer calls and obtain intake information; open files; organize and retrieve legal documents, and assist with preparation of case materials; maintain and organize case files and send mail; as well as reliably maintain and oversee the Asbestos Litigation Calendar. The ideal candidate will be required observe confidentiality of client and firm matters. This is a fast-paced desk that requires good organization and time management skills, and full-time on-site attendance.

Responsibilities of Administrative Assistant: This position generally involves recurring work situations with occasional variation from average to moderate complexity. The employee must perform all duties with minimal supervision. Overtime might occur during periods of high workload.
Responsibilities for this position include but are not limited to the following:
- Field calls, obtain basic intake information and/or provide information to callers for alternative resources.
- Calendaring case schedules & reporting deadlines.
- Updating and maintaining the Asbestos Litigation Team Calendar, including depositions, filings, and other important time sensitive notices.
- Organize and maintain client intake and the onboarding process through the matter intake system.
- Prepare intake of all new files and process closing of files when case is completed.
- Assist with the litigation process including: sending out engagement letters, pleadings or other correspondence by regular USPS and certified mail.
- Open mail daily, pull files as needed for attorneys.
- Draft basic correspondence or other documents for attorney review.
- Upload client documents into document management system.
- Send pleadings out for service of process.
- Processing third-party/vendor invoices.
- Assist team's support staff with backup support.
- Other administrative tasks as may be assigned.
Requirements
Qualifications of Administrative Assistant: - Familiarity with basic office policies and procedures.
- Ability to operate standard office equipment, such as personal computer, multi-line telephone, fax/copy machine.
- Proficiency with MS Office products required; experience with accounting software or document management systems is preferred.
- Ability to learn new technology and processes.
- Ability to maintain filing and recordkeeping systems.
- Excellent oral and written communication skills; ability to work well with all levels of a professional services organization.
- Ability to follow instructions and organize work to meet deadlines.
- Must maintain regular attendance and punctuality.
Additional experience and educational preferences: Any equivalent combination of education and experience that provides the applicant with the knowledge, skills, and abilities to perform the job.
- 2+ years' experience performing administrative work or any combination of education and experience which provides the applicant with the knowledge, skills and abilities to perform the job.
- Experience working in a legal office or professional services organization preferred.
Salary Range and Benefits: $54,000 - $65,000 - This salary range is dependent upon a variety of factors, which include but are not limited to the following: the candidate's relevant experience, skill level, and demonstrated ability to perform all of the essential functions of the position as well as the ability to perform tasks which would arise from the needs of the position or as assigned and all of the qualifications listed in the job description. Working Conditions:
This position is capable of working partially remotely, based on the needs of the practice group and clients. The need to be in the office cannot be predicted as the work assigned will be based on multiple factors. When in the office normal office environment with little exposure to excessive noise, dust, temperature, etc. Must be able to remain in a stationary position 50% of the time; frequently operates a computer and other office machinery such as a calculator, copy machine, and computer printer; often works under deadlines; occasionally needs to move about the office to access file cabinets, machinery, etc. Ability to occasionally lift objects weighing up to 10 pounds. Travel outside the office may be necessary occasionally.
