Administrative/Clerical Job Description Position Title: Administrative AssistantDepartment: Food Dept Status: Temp (Non-Exempt, Full time) No conversion Salary $20 $22/hour 35H/weekWorking hours :9 am to 5pm from Mon to Fri (1hour unpaid break) Location: Schaumburg, IL Position Summary Responsible for general logistics and import/export shipments including shipment issues and custom concerns
Role Priorities- Understand the products and answer client questions pertaining to cost, shipping and the delivery process.
- Navigate and utilize company's system for all client orders.
- Office logistics liaison
- Work closely with the accounting department regarding collection of past due or improper invoices and with the sales department regarding product specifications.
Performance Requirements- Professional communication via phone, e-mail, teams and mail.
- Arrange and coordinate import and export shipments with supplier and freight forwarder
- Maintain Logistic spread sheet daily
- Update and advise any new or revised booking details to customer (Tokyo office)
- Check the shipping documents, prepare voucher and issue invoice to customer (Tokyo office)
- Prepare voucher and arrange payment by company internal system to supplier
- Check and confirm pricing and unshipped information on the contracts with supplier
- Update USDA information and shipment status weekly
- Arrange Fedex shipment for sample products to supplier or Tokyo office
- Provide commodity pricing information to Tokyo office
- Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
- Confirm daily futures business transactions with brokers and suppliers. Balance brokerage statements daily and arrange payment/receipt of Futures Margin money. Check futures positions and advise cut off dates, position alerts and market related requirement to Tokyo Office
- Make contracts to negotiate with venders and customers
- Investigate potential new customers
- Investigate new items for imports and update documents
- Credit management
- Renew our registered licenses

• Utilize Microsoft Outlook daily
Educational Requirements:
• High School Diploma
Preferred Skills and Experience • Build and maintain relationships with customers, vendors and in the office
• Knowledge of importing and exporting terminology
