Job Description

We are seeking a highly organized and detail-oriented Project Administrator to join our team. The ideal candidate will assist in setting up quotations and jobs in our Project Management System, maintain those statuses, and support personnel job and equipment schedules. Responsibilities include booking travel for projects, job cost tracking, customer updates, job invoicing, and closeouts. This role requires strong communication and multitasking skills, proficiency in Microsoft Excel and other Microsoft platforms, and experience with billing and invoicing.

Responsibilities
  • Assist in setting up quotations and jobs in our Project Management System.
  • Maintain statuses of quotes and jobs.
  • Support in maintaining personnel job and equipment schedules.
  • Book travel arrangements for projects, including flights, hotels, and rental cars.
  • Track job costs and provide customer updates using Microsoft Excel and soon, the Project Management System.
  • Handle job invoicing and closeouts, working with customers to secure necessary change orders.
  • Coordinate logistics, planning, and scheduling of subcontractors.
  • Manage invoicing, cost tracking, work orders, purchase orders (POs), and change orders.
  • Develop and maintain relationships with customers, vendors, and technicians.
  • Collaborate closely with internal superintendents and project managers.
  • Manage 5-10 projects simultaneously.
  • Foster a collaborative team environment, assisting team members as needed.
Qualifications:
  • Proficiency in Microsoft Excel.
  • Experience with billing and invoicing.
  • Strong communication and multitasking abilities.
  • Experience with Microsoft platforms.
  • Ability to develop relationships with customers, vendors, and technicians.
  • Experience in logistics, planning, and scheduling of subcontractors.
  • Capability to manage multiple projects simultaneously.
Pay and Benefits

The pay range for this position is $24.00 - $27.00/hr.
