Position Summary:
The Administrative Assistant will play a key role in supporting daily operations across multiple departments. This position requires excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. The ideal candidate will have prior experience in construction or a related industry and be comfortable handling a mix of administrative, permitting, and insurance-related tasks.
Key Responsibilities:
- Provide general administrative support including document preparation, data entry, and filing.
- Track and maintain insurance documentation for vendors and subcontractors.
- Assist with permitting applications and ensure timely follow-up with city or county departments.
- Manage lead intake process and ensure proper routing to the appropriate team members.
- Prepare and format reports, memos, invoices, and other business documents.
- Schedule and coordinate meetings, site visits, conferences, and company events.
- Maintain calendars, book travel, and manage appointments for staff as needed.
- Communicate with internal teams, clients, and vendors professionally and promptly.
- Support office organization and ensure supplies and resources are adequately stocked.
Qualifications:
- 2+ years of administrative experience; construction or permitting experience preferred.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
- Familiarity with permitting processes and insurance documentation is a plus.
- Excellent written and verbal communication skills.
- Highly organized with strong attention to detail.
- Ability to handle confidential information with discretion.
- Self-motivated and able to work both independently and as part of a team.
