Our Client, a Global Investment Bank, is seeking an Administrative Assistant in their San Francisco, California location.Working Hours: Hours: 8:30 a.m. to 5:30 p.m.
Overview: A fast-paced Investment & Corporate Banking department is seeking a detail-oriented Administrative Assistant to support multiple officers and associates. The ideal candidate is a team player who can collaborate closely with the broader administrative team and adapt quickly to changing priorities. This is a temporary support role with a strong emphasis on coordination and communication.
Responsibilities: - Coordinate complex travel arrangements, including ground transportation, flights, and hotel accommodations
- Prepare and submit accurate and timely expense reports via Concur; follow up on missing receipts and payment status
- Schedule and manage meetings using Outlook, including managing attendee availability, guest passes, and catering when needed
- Answer, screen, and route incoming calls; handle inquiries from internal and external stakeholders and liaise with senior-level contacts
- Communicate firm policies and procedures related to client entertainment to officers and associates
- Assist with general office needs such as ordering supplies and handling mail distribution
Requirements: - Extensive experience with Concur
- Minimum of 5 years of experience as an Administrative Assistant, preferably within the finance industry
- Proficient in Microsoft Office, especially Outlook, Word, and Excel
- Excellent verbal communication and telephone etiquette
- Highly detail-oriented with a professional and personable demeanor
- Strong organizational skills with the ability to multitask independently
- Familiarity with corporate office standards, etiquette, and professionalism
- Exercises sound judgment, discretion, and maintains strict confidentiality
- College degree preferred
Hourly Compensation Range: $30.00/hr to $38.00/hr
