SUMMARY The administrative assistant provides crucial support to the UUCB office by managing the calendar, handling correspondence, organizing files, answering phones and emails, and responding to questions, while also ensuring the smooth operation of daily office tasks.
Status: 20 hours/week, Non-exempt
Hours: Flexible, with Tuesday and Thursday in-office days
Salary: $27.55/hr
Reports to: Operations Director
Directly supervises: N/A

ESSENTIAL FUNCTIONS - Coordinates with administrative staff to answer phones and emails; routing verbal, postal, and electronic communication to appropriate staff and lay leadership.
- Provides general administrative functions for the Operations Director, including maintaining hard copy and digital files.
- Supports Programs and Membership staff with administrative tasks such as:
- Maintains online UUCB calendar for staff needs & scheduling resources
- Assists with updates to the website and weekly and monthly newsletters.
- Manages subscriptions, group email lists, shared drives, and user access requests as needed.
- Performs basic IT assistance to staff and members, including virtual meetings, data entry, and reporting from various systems.
Other Responsibilities - Submits accurate reports & record of time worked.
- Attends core staff meetings and other meetings as necessary.
- Attends trainings as requested.
- Meets standards of confidentiality and complies with organizational policies and procedures.
- Contributes to ensuring safety and security of buildings and grounds, reporting suspicious activities and potential safety issues to supervisor
- Follows all health, safety, and emergency procedures
Physical Requirements Ability to move freely in and around the Church campus, easily use phone, computer, and other office equipment; maintain files; lift boxes and other materials of up to 25 pounds.

Qualifications: - 2 years as Administrative Assistant, Office Manager, or similar position
- Expertise in computer applications like Microsoft Office, database programs, e-mail list & group management, cloud solutions, etc.
- Excellent written and verbal communication skills, organizational skills, and time management skills.
- Compliance with requirements of Safe Congregation Policy prior to active employment including a background check.
- Read, speak, and follow oral and written directions in English
