We are seeking a reliable, detail-oriented, and customer service driven Administrative Assistant to join the on-site residential management team at our well-established 204-unit property in Rockland, MA. As our Administrative Assistant, you will play a key role in ensuring the smooth day-to-day operations of the property management office. You'll serve as the first point of contact for residents, vendors, and prospective residents, supporting the Property Manager and Assistant Property Manager in various administrative and operational tasks.

Responsibilities
  • Greet and assist residents, vendors, and guests in a professional and friendly manner.
  • Answer phones, respond to emails, and manage correspondence.
  • Assist in maintaining resident and vendor files and records with accuracy and confidentiality.
  • Assist in researching rental payments balances and vendor past due invoices
  • Assist with the processing of the rental payments and issue receipts.
  • Work closely with the Assistant Property Manager on lease renewals, rental applications, and move-in/move-out coordination.
  • Support maintenance team by logging work orders and tracking service requests.
  • Order office supplies and manage vendor invoices.
  • Assist with organizing resident events and community communications.
  • Perform other administrative duties as needed.
Requirements
  • High School Diploma or equivalent.
  • 1-2 years of prior administrative or office experience, preferably in property management or real estate.
  • Strong organizational and multitasking skills.
  • Excellent customer service, communication and interpersonal abilities with strong team orientation.
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Familiarity with property management software - Yardi is a plus.
  • Ability to relate to and work effectively with individuals from diverse backgrounds.
  • Professional, respectful, and approachable demeanor toward residents and co-workers.

Additional Details

Job Type: Full-time

Compensation: $20-$22 per hour, based on experience

Schedule: Day shift; Monday to Friday
