Job Summary:

Our client in downtown Providence is seeking a detail-oriented Administrative Assistant to provide high-level administrative support. The ideal candidate will be responsible for managing correspondence, maintaining records, producing reports, coordinating communications, and handling administrative duties with confidentiality and discretion.

Key Responsibilities:

  • Draft and finalize correspondence from written drafts, verbal instructions, or dictation.
  • Maintain accurate records, prepare reports, and take meeting minutes.
  • Manage telephonic, fax, and automated communications.
  • Coordinate meetings and conferences with public officials, stakeholders, and other relevant parties.
  • Handle administrative inquiries and correspondence that do not require policy interpretation.
  • Review documents for accuracy, compliance, and administrative approval.
  • Compose routine and specialized correspondence independently.
  • Maintain both electronic and paper filing systems and generate reports as needed.
  • Manage executive calendars, schedule appointments, and assist in resolving administrative issues.
  • Represent the executive or administrator in assigned matters.
  • Perform general office duties and clerical tasks as required.

Qualifications & Skills:

  • Strong written and verbal communication skills.
  • Ability to maintain confidentiality and exercise discretion.
  • Proficiency in office management and organizational tasks.
  • Experience in administrative support, preferably in a government or municipality setting.
  • Proficiency in Microsoft Office Suite and other administrative tools.
