About Rebel Heart Therapy: At Rebel Heart Therapy, we provide psychotherapy and relational counseling for people who think, live, and love outside the box by clinicians who do the same. We work with clients who identify as LGBTQIA+, poly, kinky, quirky, sex workers, burners, gamers, geeks, artists, weirdos, black sheep, unicorns, and generally anyone who colors outside the lines.
We offer therapy (individual, relational, family, and group) in an affirming, stigma-free environment where mental health care is self-care.
Position Overview: - Monday - Friday: 9:30am - 3:30pm
- Support our business's front and back end, including scheduling, billing, and client and staff support.
Key Responsibilities: - Professionally manage incoming and outgoing calls, emails, direct messages, and faxes.
- Check clients in for appointments including verifying insurance benefits and collecting copays.
- Assisting clients and clinicians with scheduling.
- Support our billing department in handling and processing incoming mail from insurance payers.
- Maintain accurate EHR files including being proactive in identifying and rectifying client paperwork needs (i.e., insurance forms or expiring credit cards) with timely documentation of client contact.
- Take responsibility for maintaining a tidy, well-functioning office.
- Attend mandatory staff meetings and training sessions.
- Other duties as assigned by the business owners.

Working Conditions & Physical Requirements: The work is performed in an office setting. This is largely a sedentary position that requires the employee to sit, stand, walk, and bend, and may occasionally require moving files and other equipment. The Administrative Assistant works part-time, typically between the hours of 9:30 a.m. to 3:30 p.m. or 3:00 p.m. to 8:30 p.m. Monday through Friday. Overtime is not expected in this role.
