Position Summary:The Administrative Assistant II is responsible for ensuring efficient front desk operations and delivering exceptional customer service. Reporting to the Support Services Manager, this position manages a variety of administrative tasks to support daily operations and contributes to the department's productivity. Standard front desk procedures will be provided for consistency and efficiency.
Job Responsibilities: - Oversee the warrant distribution process.
- Monitor and respond to all departmental requests via a shared inbox.
- Greet, screen, and direct visitors, customers, and external vendors to the appropriate personnel.
- Act as the division's point of contact for accepting legal documents such as garnishments and service of process.
- Answer internal and external calls, provide information, address inquiries, and resolve complaints efficiently.
- Review and address voicemail messages daily to ensure timely responses.
- Receive, sort, scan, and deliver incoming mail and packages, including confidential documents, ACH applications, and returned warrants of payment.
- Prepare and distribute outgoing mail and track incoming and outgoing correspondence each day.

- Proficient in front desk operations and multitasking.
- Excellent interpersonal and customer service abilities.
- High attention to detail, especially with confidential materials.
- Ability to prioritize and manage competing tasks.
Preferred Skills: - Experience with Google Workspace.

- At least two (2) years of client-facing experience.
- Minimum three (3) years of front desk experience.
Education Required: - High School Diploma required.
- An Associate's or Bachelor's degree is a plus.
