Wiginton Fire Systems is currently seeking a highly organized and motivated Administrative Assistant to support our Pensacola Branch.

This role is ideal for someone with administrative experience in the construction industry, preferably with a fire protection or fire sprinkler systems background.

Key Responsibilities:
  • Manage and coordinate the Pensacola Branch calendar, including scheduling and rescheduling inspections and appointments.
  • Serve as the primary point of contact for customers, inspectors, and service technicians, ensuring top-tier customer service.
  • Create and maintain service records in both digital databases and physical files at the Pensacola Branch.
  • Coordinate with technicians and internal teams to ensure efficient execution of all service orders.
  • Follow up on inspection reports by generating timely repair quotations.
  • Assist with branch financial tasks and provide regular invoicing reports to the Area Manager.
  • Provide administrative support to sister branches (Gainesville and Jacksonville) as needed.
  • Perform other administrative duties as assigned to support the daily operations of the Pensacola Branch.
What We're Looking For:
  • High school diploma or equivalent (required)
  • Previous administrative experience in fire protection, the fire sprinkler trade, or construction (strongly preferred)
  • Familiarity with NFPA standards is a plus
  • Excellent communication, organization, and time management skills
  • Proficiency in Microsoft Office Suite
  • Experience using ERP software (Microsoft Dynamics GP preferred)
  • Strong work ethic with the ability to focus and thrive during mentally demanding tasks
  • Must pass a background check, have a clean MVR, and pass a drug screening
