Job Summary:

We're looking for a reliable and detail-oriented Administrative Assistant to help support the daily operations of our dispatching team and internal staff. In this role, you'll play a key part in keeping things running smoothly-whether it's coordinating internal services, assisting with onboarding tasks, or helping ensure everything is organized behind the scenes. Key Responsibilities:
  • Manage shuttle commuting arrangements for dispatching staff, ensuring schedules are maintained and communicated effectively.
  • Coordinate dormitory management for dispatching staff, including tracking repair requests and updating repair progress.
  • Work with the JV legal team to prepare and issue invitation letters, primarily for suppliers.
  • Collect reimbursement requests (e.g., overtime Uber expenses) and process them through the JV reimbursement system.
  • Assist dispatching staff with bank account setup and Social Security Number (SSN) applications.
  • Collaborate with relevant departments to collect, verify, and organize dispatching staff attendance information.
Qualifications:
  • Prior experience in an administrative or office support role preferred.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks and work effectively across teams.
  • Familiarity with basic HR or reimbursement processes is a plus.
  • Chinese bilingual proficiency (spoken and written) strongly preferred.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Strong communication and interpersonal skills.
