Position Overview:

The Office Administrator will play a vital role in supporting the day-to-day operations of our HVAC, electrical, and plumbing business. This position is responsible for handling administrative tasks, ensuring smooth office operations, managing customer inquiries, and assisting with scheduling and billing. The ideal candidate will be highly organized, tech-savvy, and possess excellent communication skills.

Key Responsibilities:
  • Answering phone calls and responding to customer inquiries, providing information about services, pricing, and scheduling.
  • Managing appointment scheduling for technicians, ensuring efficient use of time and resources.
  • Assisting with the preparation and processing of invoices, payments, and purchase orders.
  • Handling customer service inquiries and resolving issues in a timely and professional manner.
  • Maintaining office supplies, equipment, and inventory, placing orders when needed.
  • Updating and maintaining customer records in the company database.
  • Assisting with the onboarding process for new employees, ensuring that all required documentation is completed.
  • Performing data entry and generating reports for management.
  • Coordinating with technicians and contractors to ensure proper scheduling and job completion.
  • Assisting with marketing efforts, including maintaining website content, social media posts, and promotional materials.
  • Supporting other administrative tasks as needed, such as filing, organizing, and document preparation.
Qualifications:
  • High school diploma or equivalent required; additional education or certifications in office administration or related fields is a plus.
  • 2+ years of experience in an administrative or office management role, preferably within the HVAC, electrical, or plumbing industries.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.) and basic office equipment (phones, fax, copier).
  • Experience with scheduling software and customer relationship management (CRM) systems.
  • Excellent communication skills, both written and verbal.
  • Strong organizational and multitasking abilities.
  • Ability to work independently and as part of a team.
  • Strong attention to detail and problem-solving skills.
  • Basic understanding of HVAC, plumbing, or electrical terminology and procedures is a plus.
