Support department management in various administrative tasks and special projects. Will work closely with Purchasing, Facilities and Logistics departments.
Facilities Duties o Coordinate and schedule contractors and vendors performing tasks at the facility.
o Be the primary point of contact for all facility related vendors and service providers. Ensure tasks are being performed on time and to the standards set by management.
o Create and control facility access security badges for employees, vendors, and contractors.
o Point of contact for all housekeeping related activities and communications.
o Ensure proper security guidelines are being followed by vendors and contractors.
o Coordinate parts inventory with Driver Coordinator
o Point of contact for all housekeeping related activities and communications.
o Coordinate Special Event Tasks
o Maintain company pool vehicle maintenance log.
Logistical Duties o Coordinate with Logistics Department all domestic and international paperwork
o Coordinate engine inventory with Logistics
o Coordinate UPS, USPS, FedEx, DHL shipping and receiving
Purchasing Duties o Coordinate with hub Purchasing Department as necessary.
o Control the ordering and distribution of general office supplies and facility supplies.
o Assist and track New Vendor Setup process.
o Organize quotations for project management and budget control.
o Track purchases from purchase order through invoice process
o Contact vendors for quotations as needed
o Prepare Action Approval documents for sign off
Minimum Qualifications - 3 years' administrative experience
- Ability to work on site Monday-Friday, 8:30-5:30
- Experience working with Office 365
- Strong written and verbal communication skills - email, telephone, and in-person
- The ability to manage multiple projects and react quickly in a dynamic environment.
- Effective time management skills and ability to prioritize tasks with minimal direction.
- IATA Certificate or able to complete in one year of hire.
