Job Summary:
Lutheran Haven is seeking a welcoming and professional Administrative Assistant to serve as the first point of contact at our Administration Office for our Home Health services. This key role involves greeting and assisting residents, visitors, staff, and callers with warmth and efficiency. As Administrative Assistant, you will provide exceptional support to our independent living residents, handle a range of clerical duties, and ensure smooth day-to-day office operations. Working independently with integrity and professionalism, you will play a vital role in supporting the mission and ministry of Lutheran Haven while contributing to a positive and caring community environment.

Job Duties:
  • Answer telephone, screen and route calls or forwards messages promptly.
  • Greet visitors and assist them as required.
  • Be responsive and interactive to the special needs and requirements of Lutheran Haven's independent residents.
  • Post, sort, distribute internal mail. Oversee mail distribution for residents.
  • Prepare daily announcements and update internal cable channel with information.
  • Receive and input Home Health maintenance requests.
  • Order office supplies, receive and distribute same, assuring proper billing.
  • Make copies and send faxes for residents.
  • Call hospitals, nursing homes and assisted living facilities for resident stay information.
  • Coordinate phone voice broadcasting to residents and staff as needed.
  • Maintain calendars for Home Health.
  • Other duties as assigned.
Minimum Qualifications:
  • Must possess a high school diploma or GED
  • Must have a minimum of three (3) years of related experience.
  • Sensitive to the special needs of the elderly.
  • Active listening skills with the ability to use logic and reasoning to identify and successfully reach desired outcomes.
  • Pleasant telephone and in-person manner and voice.
  • Professional appearance, grooming, dress and conduct consistent with human service organization.
  • Have experience in MS Word, Outlook, Excel and Power Point with accuracy.
  • Knowledge of administrative and clerical procedures and systems such as basic office machinery, managing files and records, and other office procedures and terminology.
  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
  • Advanced Reading Comprehension and basic math skills in addition, subtraction, multiplication, division, percentages.
  • Demonstrate attention to detail on a consistent, on-going basis.
  • Advanced organizational and time management skills, and willingness to pitch in to help co-workers.
  • Ability to maintain confidentiality in all aspects of work related issues.
  • Effectively communicate in person, in writing, and via technology formats (fax, phone, e-mail, etc.).
