RESPONSIBLE TO: Administrator

POSITION DESCRIPTION:

Provide administrative support to ensure efficient operation of the office. Supports managers and employees through a variety of tasks. Responsible for confidential and time sensitive material. Ability to effectively communicate via phone and email ensuring that all duties are completed accurately and delivered with high quality and in a timely manner.

DUTIES AND RESPONSIBILITIES:
  • Provides administrative support to the assigned Director as well as other department leadership and staff.
  • Scheduling/Coordinating meeting arrangements.
  • Confidential material preparation.
  • Payroll and Business office support.
  • Admissions data entry
  • Track and maintain records for maintenance
  • Maintain/update policies & procedures- enter into SharePoint
  • Maintain/update job descriptions - enter into SharePoint
  • Maintain/update all forms, updates and revisions; enter into SharePoint
  • Manage all donations and send thank you and notification letters
  • Update Emergency Preparedness Manual; enter into SharePoint
  • Update Mutual Aid Disaster Plan; enter into SharePoint
  • Attend required in-services
  • Filing
  • Update Department Head PTO list
  • Refill postage machine; order necessary supplies
  • Order packaging/mailing supplies from USPS
  • Assist with mailing, copier questions/concerns
  • Type correspondence for other departments in facility
  • Handle sensitive information in a confidential manner
  • Must be available to work more than eight (8) hours per day or more than forty (40) hours per week
  • Other related duties that may become necessary or as directed by the supervisor, department head and/or Administration
  • High School diploma or equivalent required, Associate's Degree in a related field preferred.
  • 3-5 years in professional, fast-paced office setting.
  • Proficiency with Microsoft Office suite.
  • Notary Public preferred
