We are seeking a skilled and detail-oriented professional to join our team as an

Administrative Assistant. In this role, you'll assist Financial Advisors who are dedicated to

excellence in client service. You'll be responsible for a range of administrative, operational,

and client support tasks that ensure the smooth operation of our business and provide a

best-in-class experience for our clients.


This is a full-time, in-office role located in Orem, Utah.

What is a day in the life of an Administrative Assistant?


• Open new accounts and manage documentation requirements using DocuSign


• Follow up on securities transactions and process money transfers using Wealthbox

CRM and other financial programs


• Handle incoming and outgoing client communications (calls, texts, emails)


• Meet and greet clients and visitors to the office


• Foster and support client relationships through proactive communication and

problem-solving


• Maintain physical and online filing systems using Google Drive


• Create and modify documents using Microsoft Office (Word, Excel, PowerPoint)


• Prepare financial and statistical reports using Excel or Sheets


• Support staff in assigned project work and general clerical duties (photocopying,

mailing, shipping)

What will I need to thrive in this role?


• Bachelor's degree or equivalent work experience


• 2+ years of experience as an administrative/operations role, preferably in a financial

services firm or in a compliance role


• Strong clerical knowledge including file management, document preparation, and

office procedures


• Exceptional oral and written communication skills


• Excellent follow-up and follow-through capabilities


• High level of organization, attention to detail, and ability to multitask


• Strong problem-solving and time management skills; ability to prioritize effectively


• Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Windows-based

software


• Familiarity with document management tools like Nitro and Adobe


• Familiarity with CRM systems such as Schwab, Wealthbox, or similar (preferred)


• Understanding of investment business, products, or services (preferred)


• Professional, positive demeanor and appearance; personable and approachable


• High degree of confidentiality and discretion


• Self-motivated and able to work independently and collaboratively
