Starting Wage Range: $24.60/hr. - $31.84/hr.Job Summary: Provides a variety of administrative support to the Chinuk Wawa Education Program.
Essential Functions: - Operates a multi-line phone system. Screens, routes, or handles calls in a professional and courteous manner.
- Promotes information and answers questions regarding specific programs or activities by telephone, email, social media, or in person.
- Review and route incoming mail, faxes, and other communications to appropriate staff on a timely basis.
- Prepares all supply, food, equipment, work, and maintenance orders and works with other departments to arrange completion of such orders in a timely manner.
- Inventory, order, and distribute program and classroom supplies.
- Responsible for application intake and processing.
- Assists in event planning including travel arrangements, on-site and off-site activities, and camps to ensure that all activities are implemented in the most efficient manner.
- Establishes and maintains electronic filing system for program documentation and assists in archiving inactive files.
- Records and distributes weekly staff meeting minutes.
- Maintains Program calendar.
- Responsible for distributing payroll and AP checks to appropriate staff.
- Updates Program social media pages as needed.
- Provides assistance in the classroom as needed.
- Utilizes problem solving and conflict resolution skills and works closely with the program staff to handle discipline problems with students or a disgruntled parent/guardian promptly and according to policy.
- Performs a variety of other duties as assigned by supervisor.
Education, Experience, and Licenses: - Requires a High School Diploma or GED equivalency.
- Requires a minimum of two (2) years of secretarial or office experience. One (1) year working with youth in an educational setting is preferred.
- OR equivalent combination of education, training and experience.
Driving Requirements: - This position may require driving.
Qualifications, Registrations, and Certifications: - Requires excellent verbal, written, and interpersonal skills.
- Strong organizational skills to maximize workspace and manage workload required.
- Ability to maintain a patient and professional attitude toward program participants and to maintain confidentiality concerning families and staff required.
- Requires frequent interaction with internal/external entities including students, parents/guardians, school districts, and other CTGR departments.
- Ability to work well with youth at various age levels and parents required.
- Ability to carry out instructions furnished in written or oral form required.
- Ability to work independently without direct supervision required.
- Ability to operate office machines including but not limited to computer, copier, fax machine, scanner, and multi-line phone system required.
- Ability to create professional documents including but not limited to word documents, spreadsheets, invoices, databases, slideshows, advertisements required.
- Knowledge of and sensitivity to Native American culture required.
Environmental Factors and Conditions/Physical Requirements: - Continually requires the ability to express or receive detailed information or important instructions through oral communication.
- Continually requires working with fingers rather than the whole hand or arm. Requires repetitive movement of wrists, hands and/or fingers. Often requires walking or moving about to accomplish tasks.
- Requires standing and/or sitting for sustained periods of time, raising objects from a lower to a higher position and/or moving objects horizontally.
- Occasionally requires lifting of up to 40 pounds.
- Due to the nature of the interactions with other employees and the public we serve, employees may be required to provide documentation of, or receive, certain health vaccinations.
- This position is frequently subject to inside environmental conditions which provide protection from weather conditions, but not necessarily from temperature changes, and is occasionally subject to outside environmental conditions.
- May be called upon to serve as a Disaster Reservist during emergencies.
- Local travel is occasionally required. Travel outside of the state is infrequently required.
