Are you organized, detail-oriented, and passionate about supporting a dynamic team? The Cheer Pitt Kansas City, a well-established cheerleading company in Olathe, KS, is looking for an Administrative Assistant to join our family.
The hours for this position will be 12PM-8PM. Key Responsibilities of an Administrative Assistant: Daily Tasks: - Answer phones and respond to general inquiries via email and messaging platforms
- Confirm and enter appointments, manage last-minute changes
- Monitor tuition payments and AutoPay success/failure reports
- Apply late fees as needed and communicate with families
- Serve as a key point of contact for members, staff, and vendors
Weekly Tasks: - Publish and maintain class and private lesson schedules
- Post tuition to accounts and reconcile AutoPay transactions
- Submit payroll and verify timesheets
- Ensure registration forms, waivers, and member profiles are accurate and up-to-date
- Oversee gym cleanliness schedule and vending machine inventory
- Update gym announcements on website and Band
- Provide weekly status reports to leadership
Social Media & Communications: - Plan and schedule posts for social platforms (Instagram, Facebook, etc.)
- Respond to messages and comments professionally
- Help develop content that supports gym culture and events
- Maintain accurate, up-to-date info across all digital channels
Monthly/Seasonal Duties: - Distribute tuition reminders and statements
- Organize and track Spirit Wear orders
- Coordinate competition logistics: hotels, travel, packets, registration
- Process new hires, junior coach applications, and team updates
- Ensure all waivers and documents are complete and filed properly
As Needed: - Register students for events, competitions, and special programs
- Onboard new members and distribute welcome materials
- Coordinate with vendors and maintenance teams as needed
- Assist with special events and projects (clinics, parent nights, team meetings)
- Maintain and update internal forms and documentation
Requirements of an Administrative Assistant: - 2+ years of administrative or operations experience (cheer/gym/sports/child enrichment industry preferred)
- Strong organizational and multitasking skills
- Excellent written and verbal communication
- Proficient with Google Suite, scheduling software, and basic accounting/payment platforms
- Comfortable using and posting on social media platforms
- Ability to work evenings/weekends as needed during comp season or events
- Positive, proactive, team-first attitude
