Job Summary

The Administrative Assistant will work in a fast-paced structural engineering team environment and will be responsible for administrative support and operational tasks. We are looking for a highly motivated team member to join our firm. General duties include, but are not limited to, the following:
  • Work closely with senior management, marketing leaders, and our Director of Operations to align with internal initiatives and improve operational efficiencies.
  • Correspond with property management.
  • Work directly with the Marketing and Business Development teams to produce reports and metrics.
  • Bookkeeping and working directly with our accounting team to manage A/Rs and process cash receipts.
  • Manage office inventory and general office needs.
  • Manage business licenses and professional certifications and coordinate with insurance brokers to provide Certificates of Insurance (COI).
Skills and Qualifications
  • Excited to tackle new projects, bringing a growth-oriented and curious approach to learning and execution.
  • Proficiency in Microsoft 365 (Power BI, PowerPoint, Excel, SharePoint, Teams, Word).
  • Ability to manage multiple projects, prioritize deadlines, and drive execution.
  • Strong relationship-building skills, with the ability to collaborate across internal departments and leadership teams.
  • Strong interpersonal skills to communicate effectively and follow instructions.
  • Strong written and verbal skills; ability to summarize crucial information.
  • Experience with marketing and operational tools such as Adobe InDesign, Acrobat, and Bluebeam Revu is a plus.
  • Familiarity with Deltek products (Ajera, Vantagepoint, Vision) is a plus.
Qualifications
  • 3-5 years of experience in Administrative or equivalent roles
  • Bachelor's Degree or higher
  • Architecture, Engineering, & Construction (AEC) industry experience is a plus.

The base salary range for this position is $26.00-$32.00. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
