Position Summary:
We are seeking a highly organized and proactive Administrative Assistant to support our Events Team. This role is ideal for someone looking to begin a career in the events field and gain valuable exposure to the behind-the-scenes operations of Conference planning. The ideal candidate is detail-oriented, eager to learn, and thrives in a collaborative, fast-paced environment. This position will focus heavily on administrative and logistical support, helping to keep our events team organized and efficient across multiple conference projects throughout the year.
Key Responsibilities:
- Provide day-to-day administrative support to the Events Team.
- Maintain and organize conference event-related documents, schedules, and communications.
- Assist with speaker and attendee communications (e.g., sending confirmations, answering questions, preparing materials).
- Coordinate scheduling and meeting logistics for internal planning sessions and vendor calls.
- Help prepare and organize event materials such as name badges, signage, and onsite packets.
- Track and process vendor invoices, purchase orders, and other financial documentation.
- Maintain accurate data entry in internal systems (e.g., Salesforce, registration platforms).
- Support travel and logistics coordination for staff attending events.
- Assist with collecting and organizing event feedback and post-event documentation.
- Update basic website content and event listings as needed.
- Travel required to events to provide onsite support as directed by Event Manager.
Qualifications:
- At least 2-3 years of experience in an administrative support role.
- Strong organizational skills and a high attention to detail.
- Ability to manage multiple tasks and meet deadlines.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Comfort working with databases or CRM systems (experience with Salesforce is a plus).
- Eagerness to learn about the events field and grow into greater responsibilities over time.
Preferred:
- Prior exposure to or interest in events or project coordination.
- Bachelor's degree or equivalent work experience.
- Experience working in a nonprofit or association environment is a plus.
