Build your legacy at TTLAdministrative Assistant - Nashville, TN TTL is searching for a full-time Administrative Assistant to perform admin tasks to support our Nashville office. This role will assist the Office Manager in facilitating the orderly and business-like operation of the office. Typical duties include working closely with project management staff and the corporate accounting department on timekeeping, projects, billing, schedule tracking, and maintaining department calendars. Additional duties include receptionist tasks including phone coverage, greeting clients and guests, and set up for client meetings. This position will report to the Office Manager and assist all departments as needed.

- Proofread, format, and assemble reports with attention to detail and accuracy.
- Provide general administrative support, including answering phones, scheduling meetings, and maintaining organized filing systems.
- Support accounting functions such as project setup, and accounts payable.
- Assist with onboarding tasks and support new hire orientation.
- Maintain office supplies, restock PPE and kitchen items, and manage mail and deliveries.
- Coordinate facility maintenance and office equipment service calls.
- Prepare and distribute project documentation and client correspondence.
- Ensure a clean, organized workspace and uphold confidentiality of sensitive information.
- Interact professionally with clients, visitors, and team members.
- Help manage travel logistics, including hotel reservations and receipt tracking.
- Operate and troubleshoot office machines (printers, copiers, binding machines, etc.).
- Support compliance with safety protocols and company policies.
Qualifications: - High school diploma or GED required
- 3+ years of administrative or related experience preferred
- Proficient in Microsoft Word. Experience with Excel, PowerPoint, and Teams is a plus
- Strong communication, proofreading, and organizational skills
- Professional appearance and demeanor with the ability to work independently and handle multiple tasks
- Detail-oriented, adaptable, and capable of shifting priorities as needed
- Able to perform light physical tasks such as lifting, bending, and filing
