What would this role do? The Administrative Assistant plays an essential role as the face of the organization to patients, staff, and others who visit or call. The Administrative Assistant supports the efforts of the entire local office staff as you work as a team to provide exceptional care to everyone you serve. This position will work closely with the assigned local office administrative and clinical team and report to the Department Manager.

Role Responsibilities (Here's what it takes) - Provides general administrative support to ensure efficient operation of the office.
- Answers and directs phone calls, emails, and other inquiries in a professional manner.
- Schedules appointments and makes schedule changes in the online scheduling system.
- Serves as point of contact for clients, staff, and visitors in the office.
- Creates and manages client and staff files.
- Monitors and maintains office supplies inventory, anticipating needs, and placing orders as necessary.
- Handles incoming and outgoing mail and deliveries.
- Communicating with funding sources (health insurance companies and regional centers) to secure client authorizations for services.
- Prepares and submits various reports to funding sources - accurately and timely - as required.
- Assists in the onboarding and hiring process.
Must Haves (Yes, we have needs.) - 1+ year(s) of customer service and strong knowledge of administrative duties.
- High School diploma or GED
- Ability to pass background check/ Live Scan required.
Nice to haves (Very demure, very mindful) - Administrative experience, scheduling experience preferred.
- Ability to work in a high paced, competitive, performance-based environment.
