ORGANIZATION OVERVIEW Boys & Girls Clubs of the Peninsula (BGCP) proudly stands as the largest expanded learning provider in San Mateo County, dedicated to empowering 6,000 TK-College students across 29 sites from East Palo Alto to Daly City. POSITION OVERVIEW BGCP is seeking a highly organized, proactive and detail oriented Administrative Assistant to provide administrative support to the leadership team and Executive Assistant. This role relies heavily on the ability to be highly organized and responsive, and the willingness to meet each challenge directly. In this role, you will be responsible for the day-to-day office operations, support staff/visitors, assist with projects and events.
As an Administrative Assistant you will serve as a cross functional partner to the Executive Assistant and contribute to the overall success of the teams they support and play a critical role in building positive team dynamics and improving efficiency.
This role will report to the Executive Assistant to the CEO.
RESPONSIBILITIES - Confidentiality and Discretion: handle sensitive and confidential information with the highest level of integrity and discretion
- Support the C-Suite team with calendar management such as scheduling, assist with communications, and ensure they are prepared for meetings
- Support the Executive Assistant with specific tasks, projects and planning and coordinating events
- Maintain and stock kitchen/supply areas and maintain building orderliness
- Process incoming and outgoing packages
- Reconcile monthly expense reports
- Provide phone support and exceptional customer service to guests and staff
- The ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining positive, flexible, resourceful, and efficient, with a high level of professionalism and confidentiality is crucial to this role
- Perform additional relevant duties as assigned
QUALIFICATIONS - Excellent written and verbal communication skills
- Experience with all Microsoft Office and G Suite programs
- Highly developed interpersonal skills, a friendly and helpful demeanor, and a solution-oriented approach
- Strong organizational, project management, problem solving, and multi-tasking abilities
PHYSICAL REQUIREMENTS AND WORK ENVIRONMENT The usual and customary methods of performing the job's functions require the following physical demands: ability to lift 50 pounds, carrying, pushing, and/or pulling; some climbing and balancing; some stooping, kneeling, bending at the waist, reaching overhead, crouching, squatting, and/or crawling; and significant fine finger dexterity. Generally, the job requires 70% sitting, 30% walking & standing. Work environment noise level is usually moderate but can be noisy at times. All requirements are subject to reasonable accommodation.
LOCATION Menlo Park, CA - travel to sites as needed
WORK SCHEDULE - Monday - Friday, 10:30am - 5:00pm
- Some evening events: Board meetings, Donor events, Fundraisers
COMPENSATION & BENEFITS - Employment Status: Part-Time Hourly
- Pay Range: $26.00-$29.00 per hour, depending on experience (DOE)

As part of the hiring process, BGCP requires candidates to complete a LiveScan fingerprinting, background check, and tuberculosis (TB) test.
