Description
We are looking for a responsible, detail-oriented individual to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to assigned financial advisors as well as the office manager. This includes assisting in daily office needs and managing our company's general office activities.
Responsibilities
The responsibilities of this role include maintaining the calendar for the assigned advisors, client-facing, client relationship management, preparing documents and reports, and spending time learning the part of the office manager role. Prior experience in a similar role is preferred.
• Answer phone calls and emails from clients
• Organize and schedule appointments
• Take notes at meetings
• Provide administrative support to assigned advisors, including email correspondence and generation and distribution of memos, letters, spreadsheets, forms, and faxes
• Maintain a filing system, contact database, and employee list
• Book meeting spaces
• Build rapport with clients to ensure they are satisfied with the quality of services being offered
Qualifications
The ideal candidate will be a problem solver who has excellent communication skills and attention to detail. The candidate should also have experience working in an office environment, performing administrative tasks, and providing support. An ability to multitask, manage complex schedules, and meet changing deadlines is essential to the position. Ultimately, this role will ensure the efficient and smooth day-to-day operation of the office.
This is a hybrid base compensation with a variable compensation component, where you can increase earnings based on overall team performance, as you will be a contributor to our team.
