PTS Advance has an job opportunity for an Administrative Assistant. This position will deliver quality organizational, administrative, and office management services to facilitate efficiency and continuity at the Martinez plant location and provide support as required to Business Services.

Pay rate: $28 hr.

5 days PTO

8 holidays

40 hrs. a week.

Requirements:

Sound administrative skills

Ability to work independently, set priorities and manage workload

Display initiative, flexibility, efficiency, tact and diplomacy at all times

Excellent interpersonal skills both face to face and on the phone

Able to exercise time managemet skills for conflicting priorities with a positive attitude

Communicate and establish positive relationships at all levels

Proficiency in systematically maintaining accurate records

Restricted/sensitive information to be treated with a high degree of confidentiality

Update SDS data in One SDS System

Complete purchase requisitions and goods receipts for HSSE Goods and Services.

Manage misdirected workflow.

Input contractor work order notes.

Hazardous Waste

Track and Mail Haz Waste manifest for Senior Environmental Advisor

Best of the Best

Updates Goal Zero Tracking Spreadsheet for site

Sends gas card request each quarter to Business Services

Assists with Best of the Best Nominations

OSCA

Interact with OSCA regarding PO account

Check website to verify orientation status

Work with OSCA to set site up for Contractor orientation/background

Update Training materials with OSCA as needed

Contractor Management

Update contractor orientation spreadsheet with info from OSCA or site (Background, site specific, Drug Test, Permit Holder, etc)

Work with site Contract Holders to get information needed for qualifications.

Input contractor time and perform accruals for run/maintain contractor work.

Coordinate support services for the plant (landscaping, pest control, janitorial services, HVAC, and plant gatherings)

Site Employee Support

Safety Shoes Vendor - manage PO, Update employee spend spreadsheet, and schedule boot truck bi annually.

Prescription Safety Glasses management - manage PO, and Update employee spend spreadsheetAnnual Hearing and Fit Testing Schedule Coordination and PO."

Permits/JSA's

Isolation Lists

Completed Operations Procedures

Hard copies pertaining to HSSE Department based on filing system

Filing and data mining for equipment information.

Business Services Support

Ordering and Stocking of supplies in Administrative Building, Training Center.

Manages catering orders, refreshments, snacks, and drinks for meetings, trainings, and events (receive receipts and send to business services for invoicing).

Ordering Coffee and coffee supplies.

Creation and posting of event Posters/Flyers.

Distribute mail brought from security into identified mailboxes (confidential to Karen).

Track and Report Contractor and Employee Manhours in Sphera
