Position Summary: We are seeking a dependable and professional Administrative Assistant to serve as the first point of contact for our law firm. This position requires excellent communication skills, attention to detail, and the ability to manage multiple front-office responsibilities in a fast-paced legal environment. The ideal candidate will demonstrate poise, initiative, and the ability to independently manage front desk operations.
Key Responsibilities: - Answer incoming calls promptly and professionally; route calls to appropriate staff or take accurate messages.
- Greeting clients and visitors, providing courteous and professional customer service.
- Process incoming and outgoing mail, including certified and legal correspondence.
- Maintain front desk appearance and order; ensure the reception area is always organized and presentable.
- Monitor and manage office inventory and supplies; place replenishment orders as needed.
- Coordinate deliveries, courier services, and document pickups.
- Perform administrative tasks such as filing, scanning, and document preparation.
- Provide administrative support to legal staff and management as assigned.
- Maintain confidentiality of all firm and client information.
Required Qualifications: - High school diploma or equivalent; Associate's degree preferred.
- 2+ years of administrative or front desk experience, preferably in a law firm or professional services setting.
- Strong organizational and multitasking abilities.
- Proficiency with Microsoft Office Suite (Word, Outlook, Excel) and basic office equipment.
- Excellent verbal and written communication skills.
- Professional demeanor and ability to manage sensitive client interactions.
Preferred Skills: - Experience with legal documents, scheduling, and case management systems is a plus.
- Familiarity with legal terminology and office procedures.
