POSITION: Administrative Assistant
DEPARTMENT: Administration
SUPERVISOR: Administrator and/or Office Manager
WORK HOURS: Monday through Friday; 9 a.m. - 4 p.m. or whatever the need is
JOB SUMMARY:
Performs daily business on posting payments, receptionist duties, handles correspondence, respects and maintains confidentiality of all residents and business information.
WORK PERFORMED:
The following is not an all-inclusive list of the work duties, but the main highlights of the position, such as:
- Receptionist/general office duties include:
- Answers telephone, takes messages, transfers calls.
- Distributes business and resident mail on daily basis. Forwards mail to family members, as appropriate.
- Handles meal ticket systems, including maintaining each employee's meal ticket and receiving meal ticket income.
- Records hair care charges from hair salon and charges residents accordingly.
- Orders office supplies as needed.
- Reserves meeting areas - day rooms, classroom, community room.
- Postage/certified mail.
- LTC claim submission.
- Petty cash tasks.
- Order floral arrangements for deceased residents
- RTA deposits and withdrawals.
- Foundation receipts, bank deposits.
- Background checks on applicants.
- Other numerous duties as requested.
QUALIFICATONS:
High school graduates are required. A degree or diploma from a business-related school or college in a related field is a plus.
Good typing skills, experience with Microsoft Word, Excel, and accounting software programs
The ability to keep information confidential is a must.
Well-groomed, pleasant personality.
Is often the first-person visitors, family members, vendors, etc. meet when entering Bethel.
WORK ENVIRONMENT:
Well-lit, ventilated office with adequate desk/seating provided.
Works with computer equipment, copier/fax equipment, filing systems.
Sit, stand, and walk short distances during the day and are subject to many interruptions.
Must be able to multi-task daily.
Often, they will serve elderly residents who can be forgetful and argumentative on occasion.
Must maintain professional demeanor with residents, staff, and public always.
Hours may vary depending on office workload (vacations, audits, surveys, illness, etc.)
ESSENTIAL REQUIREMENTS:
Must be able to read, write, and always communicate in the English language.
Must be able to hear and understand general conversation.
Strive for accuracy when preparing correspondence, working with cash transactions, financial data, and filing.
Must have a pleasant speaking voice when on the telephone or in general conversation.
May be called upon to lift cases of office paper and/or supplies of 50 and carry the supplies needed from the storeroom to the Business Office.
