Position Summary: Hilo Fish Company is seeking a professional and detail-oriented
Administrative Assistant to support our Los Angeles sales operations. This role is essential in ensuring accurate order processing, excellent customer service, and seamless coordination between our sales, warehouse, and delivery teams. The ideal candidate brings strong administrative skills, a commitment to service, and a team-first attitude.
Key Responsibilities: - Support the sales team with order entry, invoicing, and maintaining updated customer account information
- Serve as a reliable point of contact for customers regarding order status, product availability, pricing, and delivery scheduling
- Coordinate closely with the warehouse and logistics teams to ensure accurate and timely deliveries
- Assist with daily sales reports, inventory updates, and customer communications
- Maintain and distribute current product and pricing lists
- Help organize sample shipments, customer promotions, and follow up on outstanding orders
- Support the onboarding process for new customers, including data entry and document collection
- Communicate professionally and promptly with internal teams and external partners
- Contribute to team goals by assisting with other administrative or sales tasks as needed
Qualifications: - High school diploma or equivalent required; college coursework in business or related field preferred
- 1-2 years of experience in an administrative, sales support, or customer service role (experience in seafood or food distribution is a plus)
- Strong computer skills, including proficiency in Microsoft Excel, Word, and Outlook
- Experience with order management or inventory systems is preferred
- Excellent written and verbal communication skills
- Highly organized, detail-oriented, and dependable
- Able to work in a fast-paced, team-oriented environment
- Bilingual (English/Spanish or English/Chinese) is a plus, but not required
Working Conditions: - Based at Hilo Fish Company's Los Angeles office
- Monday to Friday schedule with occasional early mornings or extended hours during peak periods
- Office setting with frequent coordination with warehouse and delivery staff
- Occasional lifting of light materials (e.g., product samples or marketing materials)
