Administrative Services provides support to ZS professionals through administrative support, travel planning, catering coordination, and facilities management.

ADMINISTRATIVE ASSISTANT

We seek an experienced administrative professional who is organized, energetic, and possesses superb interpersonal skills for our London, UK office. The Administrative Assistant will perform support functions for several consulting professionals within our European offices.

Responsibilities:

  1. Increase managers' productivity by interacting with vendors and clients, managing email correspondence;
  2. Provide scheduling support to multiple individuals, including appointment, calendar, and meeting management;
  3. Complete administrative processes such as time and expense reports;
  4. Prepare domestic and international travel logistics, including itineraries and visas;
  5. Coordinate internal and external meetings, including facility reservations, hotel accommodations, and catering;
  6. Prepare and organize documents for client proposals and presentations, including contract tracking, printing, and archiving support materials;
  7. Address problems and troubleshoot with internal and external stakeholders;
  8. Handle special projects with demanding deadlines;
  9. Back-up front desk reception duties, such as answering phones, greeting visitors, and handling deliveries;
  10. Work hours are 9:00 am - 5:30 pm.

Qualifications:

  1. A-level completion is required; post-secondary education or Bachelor's degree preferred;
  2. At least 1-3 years of relevant experience as an Administrative/Executive Assistant, preferably in a professional services environment;
  3. Fluency in MS Office (Word, PowerPoint, Excel, Outlook); familiarity with SAP and Concur is desirable;
  4. Strong oral and written communication skills;
  5. Professional appearance and demeanor with good judgment and discretion;
  6. Attention to detail, dependability, and punctuality;
  7. Proactive self-starter capable of managing various tasks and meeting deadlines;
  8. Experience working independently and in teams within demanding environments;
  9. A sense of humor is appreciated.
