About the Role:

Adelphoi Education's Therapy in Schools Program seeks a highly organized and task-oriented Administrative Assistant to support our expanding behavioral health services. This role requires a dynamic professional proficient in various computer software systems, strong customer service skills, and the ability to interface with schools, guardians, and internal staff effectively. The ideal candidate will be self-motivated, detail-oriented, and capable of working independently in a fast-paced environment.

This position offers a flexible schedule, requiring three-morning shifts, approximately two evening shifts per week (up to approximately 9 PM), and approximately one weekend day per month. So that you know, you'll need occasional local travel (Western Pennsylvania).

Key Responsibilities:
  • Provide administrative support to the Therapy in Schools Program, ensuring efficient operations and communication between therapists, schools, and families.
  • Manage multiple computer software systems, including Microsoft Office Suite (Word, Excel, Outlook, Teams), Google Drive (Docs, Sheets, Forms, Shared Drives), and behavioral health record systems.
  • Serve as the primary point of contact for inquiries from parents, school personnel, and community partners, ensuring prompt and professional communication.
  • Schedule and coordinate meetings, therapy sessions, and assessments between therapists, schools, and families.
  • Assist in document management, including maintaining electronic records, processing forms, and ensuring compliance with confidentiality and behavioral health regulations.
  • Monitor and track program data, reports, and intake processes to support operational efficiency.
  • Provided customer service support, addressed concerns, and guided families through intake, consent, and assessment completion.
  • Assist with community outreach and program growth initiatives to strengthen relationships with school districts and stakeholders.
  • Perform occasional local travel to support program needs, attend meetings, or assist with documentation.
Qualifications & Requirements:
  • Education & Experience: A high school diploma or equivalent is required; an associate's or bachelor's degree in a related field (behavioral health, administration, education, or social services) is preferred.
  • Technical Skills: Proficiency in Microsoft Office Suite, Google Drive, and learning and managing behavioral health record systems.
  • Customer Service Experience: Strong interpersonal and communication skills with prior experience working with customers, families, schools, or healthcare environments preferred.
  • Organizational Abilities: Ability to multi-task, prioritize, and work independently while maintaining accuracy and attention to detail.
  • Flexibility: I am available for evening (up to 9 PM) and occasional weekend work (1 weekend day per month).
  • Reliable Transportation: Must be willing to drive as needed for program-related tasks.
  • Behavioral Health Knowledge: Understanding behavioral health services, educational services, or healthcare environments is a plus.
