DescriptionJob Title:Administrative Assistant
FLSA Status:Non-exempt
SummaryPerforms complex clerical work of an administrative nature. Provides assistance to management in administrative areas. Works under the supervision of the Administrative Manager.
Essential Duties and Responsibilitiesinclude the following. Other duties may be assigned.
Responsible for providing the necessary clerical, organizational and follow-up support for managers.
Type and distribute prepared agendas, materials related thereto.
Answer phones and direct calls when necessary to fill in for Front Desk Coordinator during breaks, lunch, and vacation.
Communicate with clients and direct calls to management with accurate information.
Prepare correspondence as required, memorandum, reports and letters.
Maintain strict confidentiality of all Company matters.
Responsible for establishing and maintaining official documents and records in appropriate files.
May be asked to attend some meetings, seminars, etc., possibly to take notes or furnish information.
Spanish Bi-lingual is not a must but is preferred.
1 year of prior experience in an office setting required.
Experience with Microsoft and Outlook are a must.
Must be familiar with digital organization and record keeping.
Dispatch Assistant - Assist in coordinating field technicians and scheduling projects.
Performs such other duties as may be assigned.
Tasks include, but are not limited to: 1. Assist Managers with any number of requests - i.e. setting up and canceling vendors/credit apps, faxing, scanning, creating worksheets, filing, office set up
2. Phone coverage (when needed)
3. Assist with questions and requests - i.e. forms, procedure questions, file retention, etc.
4. Work with Accounting on variety of items - i.e. Replacement Reserve Questions, utility assistance, change authorized agents, address changes/updates
5. Market Surveys when requested
6. Utility updates
7. Financials - Correct BVL - Quality Control - Distribute
8. Collect reports - Inventory, Inspections, Incident Reports, etc.
9. New Manager Training - Quarterly
10. Maintain Contract Files
11. Personal Property Tax Declarations - Annually

Education and/or Experience Associate's degree (A. A.) or equivalent from two-year College or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.
Language Skills Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence.
Mathematical Skills Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
Reasoning Ability Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Computer Skills To perform this job successfully, an individual should have knowledge of OneSite, Yardi, Rentroll Internet software; Excel Spreadsheet software and Word Word Processing software.

Other Qualifications Must be able to travel 5% of the time. Must maintain vehicle in safe operable condition and carry adequate car insurance at all times. Must notify manager immediately if either of these qualifications are not met.
