About Us
At Flightplan Financial Group, we bring the right mix of expertise to support businesses. We are looking for a highly organized and detail-oriented remote part-time Administrative Assistant to support our financial practice. Candidates MUST reside in the Minneapolis/St. Paul, MN metro areas. This role is crucial in ensuring operational efficiency while allowing our Financial Advisor to focus on client service and business growth.

Key Responsibilities
Client Service
  • Schedule and confirm client meetings
  • Gather data and prepare materials for client meetings
  • Set up new clients in CRM
  • Handle mail-related tasks, including check mailing and deposits
  • Monitor and respond to voicemails, texts, and client messages
  • Manage Monthly Account Reviews (MARs)
  • Maintain client suitability records
  • Process client fee reimbursements and assist with financial transactions
  • Support open enrollment coordination and documentation
  • Assist with special projects as needed
Business and Practice Management
  • Scan and organize client documents in digital systems
  • Maintain up-to-date work methods and procedures to ensure compliance
  • Prioritize tasks and manage workload effectively
  • Utilize to-do lists, calendars, and practice management software
  • Perform additional administrative duties as assigned
Qualifications & Skills
  • Experience: At least one year of administrative or client service experience (or equivalent combination of education and experience)
  • Technology Proficiency: Familiarity with MS Excel, MS Word, Outlook, Adobe, Teams, and database software
  • Communication: Strong verbal and written communication skills, with the ability to interact professionally with clients and team members
  • Integrity & Confidentiality: A high degree of trust, discretion, and professionalism when handling sensitive financial and personal information
  • Organization & Attention to Detail: Ability to multitask, stay organized, and prioritize work efficiently in a fast-paced environment
  • Flexibility: Ability to work a flexible weekly schedule - typically 20 hours per week - 4 hours per day - Monday - Friday from about 9 a.m. to 1 p.m. - on occasion schedule could change based on office needs that day/week - starting out must be able to come into office a few times and then occasionally as office needs and for team events
