The Finance Department is looking for an Administrative Assistant to join our team and support both the Treasury and Purchasing Divisions.

WORKING HOURS AND LOCATION
This position generally works Monday through Friday, 8:00am - 4:30pm with a one-hour lunch break. Your time will be split between City Hall (155 Heritage Way) and the former JSD Central Office Building (1208 Glacier Ave).
Typical Responsibilities
DESCRIPTION OF WHAT YOU WILL BE DOING
This is a shared position providing critical administrative support for the City Cash Office and Purchasing Division. You will be the hub of daily activity, able to jump from one topic to another at a moment's notice. The successful candidate will be expected to work independently with minimal supervision, identifying and addressing needs as they arise. Duties and tasks are wide ranging in scope and complexity which can be both routine and unique in nature.
You will be interacting regularly with the public in a variety of formats, formal and informal, responding to basic inquiries and providing guidance related to the various sections. You will become knowledgeable in the relevant CBJ code and guidelines and be able to explain them to internal and external customers.
Examples of specific duties include:
• Provide excellent customer service over the phone and by email responding to questions and concerns;
• Provide operational and clerical support within Purchasing and the Cash Office;
• Processing a high volume of incoming and outgoing mail;
• Preparing daily bank deposits;
• Processing and maintaining purchase orders;
• Handling vendor setup and maintenance, including appropriate ACH banking data.
• Reviewing and reconciling purchases made by City employees with purchasing cards to ensure compliance with the Purchasing Code; Minimum Qualifications
Education: High School graduation or the equivalent.
Experience: Six (6) months of clerical experience. This work is equivalent to an Office Assistant with the City & Borough of Juneau or equivalent elsewhere.
SUBSTITUTION:
Post-secondary or vocational training may be substituted for the required
experience on the basis of: three (3) semester or four (4) quarter hours of post-
secondary education are equal to one month of experience; 150 hours of
vocational education are equal to one month of experience.)
