Role Overview
Infinity is currently looking for an Administrative Assistant to join our high-energy team. This role is a dynamic blend of administrative support, front desk responsibilities, and facilities coordination. The ideal candidate will be the first impression for our guests, a reliable go-to for employee needs, and a proactive partner in keeping our workplace running smoothly and efficiently.
Requirements
Responsibilities:
• Serve as the first point of contact for guests, vendors, and incoming calls
• Provide administrative support to leadership and departments as needed
• Schedule meetings, manage conference rooms, and assist with travel arrangements
• Receive, sort, and distribute mail and delivery
• Maintain office supply inventory and place orders as needed
• Partner with vendors and building management for facilities-related tasks and maintenance
• Support onboarding efforts by preparing workspaces and welcome materials for new hires
• Help plan and coordinate company events and celebrations
• Ensure front desk, breakroom, and shared office spaces are clean, organized, and fully stocked
• Handle other administrative or facilities tasks as assigned
Ideal Candidate & Qualifications:
• 2+ years of experience in an administrative, receptionist, or office support role
• Strong written and verbal communication skills
• Friendly, professional demeanor with excellent customer service skills
• Organized, detail-oriented, and able to multitask effectively
• Proficient in Microsoft Office Suite (Outlook, Word, Excel, Teams)
• Experience coordinating with vendors or managing office supplies is a plus
• Self-starter who thrives in a collaborative, fast-paced environment
• Comfortable handling confidential information with discretion
Physical Requirements:
• Prolonged periods of sitting at a desk and working on a computer
• Ability to lift up to 25 pounds (e.g., restocking supplies, event setup, moving packages)
