FBCG is a COVID-19 Vaccinated WorkplacePOSITION OVERVIEW: The Helps Department is seeking a full-time administrative assistant to provide support to the department head as well as the 14 ministries within this department. The mission of this department is to make our members and guests feel welcomed from the time they enter the grounds until they return for their next worshiping experience. The Helps ministries serve with gladness as an extension of Pastor's hands, far beyond the pulpit. The incumbent is expected to perform graciously as they receive and speak with leaders and members, on behalf of the department. Dependability, strong computer skills, organizational skills, and being a team player are vital. This position reports to the Department Head.
RESPONSIBILITIES: - Maintain daily, weekly, monthly and annual calendars. Updates information on a regular basis.
- Organize and maintains filing system, including confidential files. Prepares binders and file folders for correspondence, reports and/or other records.
- Oversee new member, ministry volunteer records and coordinate with appropriate ministry leader. Organize new member events.
- Coordinate and schedule meetings, conference calls and appointments as needed.
- Process and track transportation requests, coordinating with other departments and drivers.
- Coordinate driver training courses for insurance purpose.
- Responsible for preparation of various reports to include, executive summaries, critical statistics and budget reports.
- Prepare meeting minutes from monthly departmental meetings.
- Create and maintain the department's membership and email blast databases.
- Attend ministry and collaboration meetings; keep ministry leaders abreast of information and events.
- Create and distribute quarterly departmental newsletters.
- Prepare and distribute any information needed by the Ministry as needed with the guidance of the department head.
- Organize and relieve the department head of a wide range of routine and non-routine administrative details so that they may concentrate on the significant aspects of ministry.
- Provide administrative support to include; copying, faxing, scanning, typing, e-mail review and answers phones.
QUALIFICATIONS: - Must be saved, have a servant's heart, and be a member in good standing or willing to join and become a member of First Baptist Church of Glenarden.
- Must be able to submit to authorities as defined by the Pastor.
- Must possess a gracious, Christ-like demeanor in demanding situations.
- Must have an understanding and appreciation for the ministry and the mission of FBCG.
- Must possess a high level of sensitivity for people in need and possess ability to maintain confidentiality.
- Must possess strong people skills, superior professionalism and a spirit of hospitality.
- High School Diploma required, Associate's or Bachelor's degree preferred.
- A minimum of five (5) years of business administration/support.
- A minimum of two (2) years customer service experience preferred.
- Computer proficiency in Microsoft Word, Excel, PowerPoint, Access, Project and Outlook, Visio, and Smart Sheet knowledge and experience preferred.
- Must have strong administrative experience, attention to detail, accuracy, and excellent customer service skills.
- Must have strong organization skills, ability to work under pressure, and excellent interpersonal skills in order to deal effectively and courteously with a diverse group of individuals.
- Must be a team player; flexible and able to perform multiple tasks in a complex operating environment.
- Must demonstrate the ability to prioritize work with attention to detail; strong written and verbal communication skills. Must demonstrate proficiency in general office clerical skills.
- Must be proactive, flexible, approachable, responsible, resourceful, and able to work within a diverse group.
