Position: 10 Month School Administrative Assistant

Reports to: Principal of Schools

SUMMARY:

The School Administrative Assistant performs a variety of duties in support of the operation of the school in support of the Principal and other staff, students, parents and the public.

Start Date: August 14, 2025

Salary range: $24.70 - $ 34.68/hour

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Tracks attendance of students and staff.
  • Prepares morning announcements.
  • Answers telephone and forwards calls if necessary. Provides information to callers.
  • Prepares correspondence, newsletters, notices and a variety of materials for distribution to students, staff and parents.
  • Registers students for school.
  • Updates and maintains student record database.
  • Serves as a resource on all school based information for students, staff, administration, parents and the public.
  • Prepares and submits payroll.
  • Prepares and submits bills for payment.
  • Orders office supplies and school supplies; unpacks and distributes same.
  • Tracks expenditures for budget purposes.
  • Prepares and distribute report cards
  • Maintains confidential personnel and student files.
  • Produces newsletters, flyers and brochures for a variety of activities and purposes.
  • Coordinates events such as graduation, field trips, class trips and other events.
  • Provides secretarial support for Principals and other administrators.
  • Generates reports as needed.
  • Maintains school calendar of events
  • Processes free and reduced lunch applications and fee waivers.
  • Coordinates CORI check information as needed.
  • Arranges for substitute teacher assignments
  • Liaison with bus company
  • Prepares correspondence
  • Greets visitors
  • Assists with MCAS preparation and test administration
  • Prepares handbooks for teachers and students
  • Involved with student dismissals, change of dismissals and release of children
  • Processes and track teacher leave requests and arrange substitutes and classroom coverage.
  • Coordinates the Advanced Placement testing program, including working with students, parents, proctors, scheduling and handling fees.
  • Coordinates student exchange program
  • Performs a variety of related duties
Qualifications:
  • High School Diploma/GED required
  • Three years of related experience in a secretarial, clerical or administrative setting is required
  • School or municipal experience is desired
  • An equivalent combination of education and experience may be substituted for these requirements.
  • Bilingual in Spanish or Portuguese, preferred
  • Successful completion of Criminal Records Check (CORI), and fingerprints
EVALUATION: Performance of this job will be evaluated in accordance with provisions of the Hudson School Committee's policy on evaluation or in accordance with union contract.

WORK YEAR:
  • 10 months, 224 work days, 7.5 hours/day
  • Class C of Administrative Assistants Union
  • 3 personal days, 12 sick days, 2 vacation days prorated pursuant to date of hire
  • 15+ paid holidays

While performing duties of this job, the employee may often remain in a stationary position for considerable periods of time. The employee will have also have ample periods of standing and may be required to traverse throughout the building. The employee must frequently use hands and frequently operates a computer and other office productivity machinery (i.e., calculator, copy machine, and computer printer). Physical abilities may also include lifting/carrying/pushing/pulling, stooping/crouching, reaching/handling, talking/hearing conversations, and near/far visual acuity/depth perception/color vision/field. Ability must be able to lift and/or push and pull 15 to 20lbs for short periods, and walk up and down stairs several times a day. The employee must be able to communicate effectively with students, staff members, and the public in person and on the telephone.
