Overview & Responsibilities

Work with a leading firm in the energy industry, supporting their dynamic Houston office as a key Administrative Assistant. This is an exciting opportunity to join a team during a period of significant growth and increased activity, particularly with executives frequently visiting due to a recent acquisition. You will play a crucial role in ensuring the smooth operation of the office and providing essential support to senior leadership, directly impacting the daily flow of business. This role is designed to be more than just a typical receptionist position, seeking a proactive and capable individual who can grow with the needs of the office and potentially transition into a long-term role. Key responsibilities include:


• Greet and welcome visitors, ensuring a professional and hospitable first impression.


• Set up meetings and manage conference room arrangements.


• Oversee and maintain the supply room, ensuring adequate stock.


• Validate parking for visitors.


• Collaborate with the building's facilities team for office needs.


• Assist with making employee badges, a critical function for new and returning staff.


• Potentially sort and distribute incoming mail in the future.


• Provide general administrative support to alleviate workload from the Senior Admin, who supports multiple Vice Presidents.


Required Skills & Experience:


• Must have a minimum of a high school diploma, GED, or equivalent.


• A minimum of 1 year experience in an administrative role.


• Ability to work on-site in the Houston office, Tuesday through Thursday, 7:30 AM to 3:30 PM.


• Strong organizational skills and attention to detail.


• Excellent communication and interpersonal skills to effectively greet and assist visitors and collaborate with internal teams.
