What You'll Do in This Role:

The Administrative Assistant plays a key role in delivering exceptional customer service and fostering a welcoming, supportive workplace culture. This position is responsible for a wide range of administrative tasks that support participants, families, and team members alike. By ensuring the main office operates smoothly and efficiently, the Administrative Assistant helps maintain the high standards of care and collaboration that define our organization.

Primary Responsibilities:

Front Desk & Customer Service
  • Greet and assist visitors, participants, and staff with professionalism and warmth.
  • Answer and direct incoming phone calls promptly, accurately, and courteously.
  • Maintain a clean, organized, and welcoming reception area and shared office spaces.
  • Receive and process deliveries; manage incoming and outgoing mail distribution.
Administrative & Clerical Support
  • Provide general administrative and secretarial support to team members and departments.
  • Maintain accurate logs of visitor interactions and phone communications.
  • Organize and maintain office filing systems to ensure documents are accessible and up to date.
  • Monitor office supply levels and coordinate timely restocking.
Office Equipment & Technology
  • Operate standard office equipment including computers, copiers, printers, and fax machines.
  • Learn and utilize business software and internal systems effectively.
Security & Compliance
  • Remain alert to and report any suspicious activity, individuals, or information to the appropriate administrative authority in a timely manner.

What You'll Need:
  • High school diploma or equivalent required; associate's degree preferred.
  • Current CPR certification through the American Heart Association (AHA) or willingness to obtain it as provided by LifeCircles.
  • Reliable transportation and a valid Michigan driver's license required.
  • Two to three years of relevant office or administrative experience preferred.
