We are looking for a motivated and detail-oriented Junior Administrative Assistant to support our team in daily administrative tasks. This entry-level role is perfect for individuals seeking to develop their skills in a professional environment while contributing to the smooth operation of our office.

Key Responsibilities:
  • Administrative Support: Assist with daily office operations, including answering phones, responding to emails, and greeting visitors.
    • Calendar Management: Organizing and prioritizing the calendar, including meetings, appointments, and deadlines.
    • Meeting Preparation: Assist in preparing materials for meetings, including agendas, reports, and presentations.
  • Scheduling: Aid in scheduling meetings and appointments, coordinating with team members and clients to ensure availability.
    • Interview/Hiring Coordination: coordinating calendars with the interviewing team and HR. Including contractor interviews.
  • Expense Reports: filling out expense reports and attaching receipts
  • Onboarding Support: Assisting with the onboarding process for new team members and executives. (ordering equipment, securing credentials, setting up introductions, meet with employee to review company policy and procedures, ordering corp cards etc)
  • Supplies Management: Monitor and maintain office supplies, placing orders as needed to ensure the office is well-stocked. (when needed for onsite meetings)
  • Research: Conduct basic research and gather information to support team projects and initiatives.
  • General Office Duties: Perform other administrative tasks as assigned, contributing to a positive and productive office environment.
Qualifications:
  • High school diploma or equivalent; some college coursework is a plus.
  • Previous administrative experience is preferred but not required.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
  • A positive attitude and willingness to learn.
