Position Summary: The
Administrative Assistant will provide essential administrative support to property staff and management, ensuring smooth day-to-day operations of the property. The role requires the ability to multi-task, excellent attention to detail, and organizational skills. You will play a key part in managing various administrative activities while adhering to Fair Housing laws and Equal Employment Opportunity guidelines.
Main Job Responsibilities: - Assist Property Manager and staff by producing letters, documents, presentations, and other materials to high-quality standards within established timeframes.
- Utilize software packages to create accurate documents, charts, graphics, and presentations (typing, proofing, organizing, designing, and layout).
- Organize, research, and gather necessary data for reports and other materials.
- Handle sensitive documents with confidentiality and discretion.
- Set up and maintain accurate and easily accessible files and records, ensuring timely updates.
- Greet visitors, screen incoming calls, and schedule appointments.
- Organize meetings, both on-site and off-site, including coordinating supplies, assembling equipment, preparing agendas, and distributing minutes and notes.
- Assist with preparing and monitoring the department budget, ensuring all financial information is submitted on time.
- Review and process invoices for accuracy and ensure timely payments.
- Answer phones for the property and assist with calls for other departments as needed. Ensure all calls are answered before the fourth ring.
- Provide proactive administrative support for daily office functions to ensure smooth operations.
What we look for: - Minimum of 3 years' experience providing clerical and administrative support.
- Proficiency in Microsoft Word, PowerPoint, and Excel.
- Typing speed of 75 wpm or higher.
- Strong organizational skills with a keen eye for detail.
- Ability to prioritize tasks and handle multiple projects at once.
- Professional and courteous demeanor with the ability to work well as part of a team.
- Strong communication skills with the ability to proofread and write accurate, error-free correspondence.
- Self-motivated, reliable, and compassionate attitude toward others.
Required Education and Experience: - High School Diploma or GED.
Preferred Knowledge/Experience: - Knowledge of property management and affordable housing programs is a plus.
