Job Summary The administrative assistant will provide professional administrative and clerical support to managers and employees. Candidate will ship product to our customers and work independently under the general direction of the Office Manager. Position requires strong computer skills, flexibility, excellent interpersonal skills, and the ability to multi-task. Sensitivity to confidential matters is required.
Responsibilities - Effectively supports the Office Manager with the shipment of goods to customers, adheres to shipping procedures, and maintains hard copies of shipping documents. This includes making boxes.
- Performs day-to-day duties such as filing, correspondence, expense reports and screening telephone calls. May coordinate travel arrangements as required for management, as well as out-of-town customers.
- Schedules, organizes, and/or coordinates local office events and staff meetings. This includes ordering/picking up and setting up breakfast/lunch for meetings
- Maintains office facility including the following: operation of office equipment, office supply inventory; scheduling service of equipment; receiving packages/mail; and interacting with suppliers, vendors or service providers.
- Initiates purchase requisitions using Oracle and coordinates with corporate Accounts Payable
- Receives packages and tracks purchase orders, follows up with vendors as needed, and maintains purchase order files
Personal Qualities - Able to work independently and prioritize tasks in a timely and effective manner
- Maintains a positive attitude and works cooperatively and effectively with team members
- Excellent ability to multitask with a strong attention to detail
Qualifications - General office/administrative support or manufacturing environment experience
- Proficient in MS Outlook, MS Word, MS Excel, Oracle
- Excellent verbal and written communication skills
- Knowledge of operating standard office equipment
- Strong attention to detail and excellent organizational skills
- Ability to multitask and prioritize work
- Must be able to handle sensitive information with integrity and confidentiality

- Salary Range for this Admin Assistant role is $16.00/hour to $22/hour, depending on experience
