Description
The Administrative Assistant provides general office support with a variety of clerical and related tasks and assists with the day-to-day operations of an office.
• Assisting with a variety of administrative tasks including copying, faxing, sorting & distributing mail.
• Assists QuickBox in safeguarding intellectual property, trade secrets and all other company assets.
• Assists with various research projects and/or special projects.
• Communicates with corresponding staffing agencies to ensure accurate attendance is reported.
• Data entry and any other assistance needed on MPTs.
• Directs visitors by maintaining employees and department directory, giving instructions.
• Helps maintain employee badging system - including activation, deactivation, tracking and replacement as needed.
• Maintains a safe and clean reception area by complying with procedure, rules, and regulations.
• Maintains security by following procedure; monitoring logbook; issuing visitor & temporary worker badges.
• Maintains telecommunication system by following manufacturer's instructions for house phone and console operation.
• Manages the temporary employee timekeeping including (check in/out process).
• Managing locker assignments & terminations.
• Managing purchasing basic supplies for warehouse as needed.
• Performs basic pre-employment activities such as having applicants' complete applications & testing.
• Serves visitors by greeting them, in person or on the telephones, answering or referring inquiries.
• Performs timekeeping for all hourly employees in Atlanta and Temp workers, including auditing timecards and signing off on hours.
• Participates in employee engagement, setting up and ordering a variety of items help create a positive employee experience.
• Handles expense reporting for Sr. leadership.
• Maintains an Inventory of office supplies, working with the billing clerk on reorders.
• Other duties as assigned.
Requirements
- The ability to work independently without direct supervision is essential.
- Demonstrated strong customer service skills and the willingness to learn new ways to aid.
- Good time management skills.
- High school diploma or GED preferred.
- Must be able to effectively use written and verbal communication skills.
- Possess a good attitude and is approachable.
- Strong organizational skills and the ability to manage multiple tasks with conflicting priorities to meet deadlines.
- Be able to type a minimum of 60 WPM.
- Proficient in the use of computer software. Previous experience with MS Word and MS Excel preferred.
- 2+ years' experience administrative clerical support preferred.
